Administrative Assistant

Title: Administrative Assistant

Reports to: Executive Director

Hours: 15-30 hours per week

Status: Non-Exempt

 

Summary

The Administrative Assistant will perform a wide range of administrative and office support activities in collaboration with DRHS staff to facilitate the efficient operation of the organization.

 

Essential Job Functions

  • General clerical duties including data entry, copying, scanning, filing, answering and making phone calls, emails, and mailing.

  • Handle requests for information and data. 

  • Prepare and modify documents including correspondence, reports, drafts, memos, and e-mails.

  • Handle questions, concerns, and issues from the public in a professional manner.

  • Provide Customer Care Representatives with support with adoptions, intakes, rehomings, and other duties, as needed.

  • Work collaboratively with staff and volunteers to ensure a clean, pleasant, and organized work environment including all areas that the community can and cannot see.

  • Assist with scheduling and coordinating services by appointment.

  • Input animal transfer information from outside organizations.

  • Provide accurate information to the community and volunteers about the DRHS’ policies and procedures.

  • Assist with general paperwork, reporting, or other administrative duties as assigned.

 

 

Requirements

  • High School Diploma or equivalent combination of education and work experience.

  • Have steadfast belief in the mission, policies, and procedures of the DRHS.

  • Organizational skills, detail-oriented, and resourceful.

  • Excellent verbal and written communication skills.

  • Computer skills including Microsoft Office.

  • Knowledge and operation of standard office equipment.

  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.

  • Knowledge of principles and practices of basic office management.

  • Flexibility in hours, adaptability, customer service orientation, and teamwork.

 

Working Environment

The Administrative Assistant will encounter regular exposure to animal odors, diseases, possible contagious conditions, bites, scratches, animal waste, and high noise levels.
